Requirements

  • Experience in a similar role is essential
  • Professional telephone manner, exceptional customer services and good communication skills
  • A natural ability to collaborate with internal and external people, demonstrating a willingness to consult others for ideas, advice and direction when needed
  • Strong organizational skills with attention to detail are essential, able to prioritize and multi-task
  • Proficiency in Microsoft Word, Excel and PowerPoint & Outlook
  • A strong team player with good interpersonal skills
  • Effective Time Management Skills
  • Attention to detail

Job responsibilities

  • Operate the reception switchboard in a warm, confident and cheerful manner, and to redirect calls to most appropriate person efficiently
  • Greet all incoming guests ensuring all visitors to Carter Jonas have a pleasant experience
  • To ensure the reception area is kept in a pristine condition at all times
  • Maintain MS Outlook calendar for booking/organising conference rooms and making sure all are in good shape pre/post meetings
  • Management of office parking spaces for staff and visitors
  • Ensuring the office is kept tidy and presentable, liaising with cleaners
  • Dealing with office Health & Safety, Fire and compliance
  • Organising any office catering requirements
  • Provide office support in handling all mailing and courier packages, incoming and outgoing and making sure all delivery notes have been signed off & logged
  • Arranging TNT and other special posts/parcels
  • Support the Office Partners with event planning and deployment
  • Liaise with IT for set up of all VC/ IT equipment including any other resource requirements
  • Daily meeting room equipment checks
  • Maintain supplies control for office stationary consumables and refreshments
  • Lead and assist with IMS Coordination and Administration
  • Photocopies and scanning tasks for teams
  • Arranging archiving retrievals, returns and overseeing related file logs
  • Holiday and overflow cover for administrators
  • Any other duties of an associated/similar nature
