Requirements

  • Customer service/ client facing experience and experience of working under pressure and to a professional standard of accuracy and reliability
  • Previous experience of managing individuals or teams and UK public sector knowledge desirable
  • Previous experience of Adobe and Microsoft Dynamics and CRM would be beneficial
  • High level of competence with Microsoft Office products
  • Enthusiastic and able to work on their own initiative
  • Able to multi-task and prioritise work

Job responsibilities

  • To take responsibility for assigned events from sign-off to post-event, ensuring all operations functions are completed to a high standard and within agreed timescales
  • Liaison with production, marketing and sponsorship teams to ensure smooth running of events
  • Liaison with speakers, sponsors and venues ensuring a coordinated, professional and positive service
  • Dealing with all telephone enquiries in an efficient and friendly manner
  • To source and confirm suitable venues using Capita Travel and Events venue finding service
  • Cross-checking and return of venue contracts
  • Liaising directly with venues and external suppliers to ensure all on the day requirements are met
  • Liaison with any sponsors and exhibitors
  • Signing off all delegate packs - confirming all information, including sponsorship material, is present and accurate and produced in the house style
  • Collation of all conference materials on the day (e.g. packs, white boxes, signage, equipment)
  • Responsibility for hosting the day alongside the producer and taking responsibility for delegate experience, including, ensuring an accurate record of attendees is captured and all aspects of the event run smoothly and professionally
  • Reviewing post-event feedback and responding to any comments where necessary
  • To contribute to the ongoing success of the Operations Team through development of best practice and driving efficiency and cost-savings
